Employees are responsible for returning company-owned property assigned to them when their employment ends. This includes IT equipment, access items, and other company property provided for work. The employee's manager and IT can help clarify which items need to be returned and how the return should be arranged.
IT equipment
Company-owned IT equipment may include:
- Laptop or desktop computer
- Monitor and docking station
- Mobile phone or tablet
- Keyboard, mouse, headset, and other accessories
- Chargers and power adapters
- Other equipment provided for work
Employees should return equipment in their possession, including equipment that is used primarily at home or at another work location.
Access items
Employees must also return physical items used to access company facilities, including:
- Employee ID cards and access badges
- Office keys
- Parking permits
- Other access devices issued by the company
Access items should not be passed on to another employee unless this has been arranged by the responsible department.
Returning company property
Company property should be returned by the employee's last working day unless another arrangement has been agreed.
Employees working from a company office should return equipment and other property according to the instructions provided by their manager or IT.
Remote employees should contact IT to arrange the return of company equipment. IT will provide instructions for shipping or otherwise returning the equipment.
Employees should not leave company equipment or other property at an office without confirming where and how it should be returned.
Missing or damaged property
Employees should inform their manager or IT if company property is missing, lost, or damaged.
Normal signs of use do not need to be reported as damage. Problems that affect the functionality or security of equipment should be reported before the equipment is returned.
If an employee cannot return an item, they should contact their manager or the responsible department as soon as possible.
Personal information on devices
Employees should remove personal information from company devices before returning them, where appropriate. Business information must remain on the device and must not be deleted as part of the return process.
For questions about removing personal information, employees should contact IT before returning the device.
